Begin before the first sale
Assign a stable object identifier and confirm facts with the artist. Photograph the front, back, marks and condition before the work leaves the gallery.
Keep transaction records consistent
Invoice, certificate and inventory should use the same title, date, medium and dimensions. Correct discrepancies while the artist and original records are available.
Separate public and private history
The internal file may include buyer identity, price and address. A shareable provenance summary should protect that information unless permission exists.
Record later events
Loans, exhibitions, conservation and transfers belong in the history. An honest “unverified” entry is stronger than an invented bridge.
